Events Guidance

This is a guide to Conduct, Environment and Health & Safety at Imp Club organised events. If you are thinking of arranging an Imp Cub Event please take the time to read this guidance .

The Club has recently changed its insurance provision which affects the way it deals with Health and Safety. This has changed the way the Club runs some of its events and shows and impacts on events and their organisers.

HEALTH & SAFETY

  • The Club has taken measures with respect to H&S to ensure that due diligence is shown
  • The Club has implemented a policy, risk assessments, equipment maintenance logs, first aid provision etc.

CHANGES FOR EVENT ORGANISERS AND EVENT ATTENDEES

  • Organisers must inform the Events Secretary of upcoming events
  • Organisers need to complete the required paperwork. nb Forms can be downloaded from the Club’s website (see below) or can be requested from the Events Secretary
  • The completed risk assessment form and signed declarations should be kept by the organisers and returned to the Club after the event
  • Non-members are allowed on stands but must understand that members take priority
  • If the event organiser forwards names of non-members to the Membership Secretary, he will give them a week’s free membership to cover the event
  • Non-members will only be allowed to do this 2-3 times and attempts will be made to try and encourage them to join the Club

IF YOU ARE ORGANISING A CLUB EVENT THIS IS WHAT YOU NEED TO DO

1. Notify the Events Secretary – see Notification of UK Imp Club Events

2. Familiarise yourself with the relevant guidance, complete the risk asessment and any applicable declaration forms for your event

• We, the committee, understand the above involves extra paperwork for our stand organisers, but please be aware that the Club has to show our insurers that we have been diligent should a claim against us be made.
• By following the above advice, you will help protect both the Club and yourself from any possible legal action.
• We hope that this will not deter members from organising stands and we would like to take this opportunity to thank all the members for their efforts to promote the Club and hope that they continue to do so in the future.
